Privacy Policy for Outsourcing Management Information System (OMIS)

The OMIS application is developed to enhance efficiency and transparency in managing outsourced workforce placed at various client outlets. This system aims to simplify the workforce mapping process by ensuring each employee is placed according to their skills, location, and client operational needs. Additionally, OMIS serves as a monitoring tool, allowing outsourcing companies to monitor employee attendance and performance in real-time, thereby reducing the risk of absenteeism and workforce inconsistencies.

    Face Verification Data Handling
To enhance security and ensure accurate attendance, OMIS utilizes a face verification feature for employee check-ins. This section details our practices regarding the face photograph data collected and processed for this purpose.

    Collection of Face Photograph Data

For the face verification feature, we collect two types of 2D (two-dimensional) still photographs of an employee's face: 1. Enrollment Photograph: This photograph is captured once when an employee is initially enrolled in the face verification system. 2. Check-in Photograph: This photograph is captured in real-time each time an employee attempts to check-in via the OMIS application.

    Use of Face Photograph Data

The Enrollment Photograph is securely stored and serves as the reference image for verifying your identity. The Check-in Photograph is used solely for immediate, real-time comparison against your stored Enrollment Photograph. This comparison is performed by our proprietary (in-house) REST API, managed by PT Subur Progress, to confirm that the individual performing the check-in is the authorized employee. This process is designed to prevent attendance fraud. We do not use these photographs for any other purpose, such as demographic analysis, emotion detection, or any form of biometric profiling beyond this specific 2D photo comparison for identity verification.

Storage, Retention, and Deletion of Face Photograph Data

Enrollment Photograph: Your Enrollment Photograph is stored on secure servers managed by PT Subur Progress, located in Jakarta, Indonesia. It is retained as long as you are an active employee utilizing the OMIS check-in feature, or until it is no longer required for the purposes for which it was collected, or as required by applicable law or company policy (e.g., upon termination of employment or your valid request for deletion). Check-in Photograph: The Check-in Photograph is NOT STORED. It is processed in memory for the duration of the verification check and is then immediately and irretrievably discarded. No copy of the Check-in Photograph is retained by our systems after the verification attempt is completed.

Third-Party Sharing of Face Photograph Data

We do not share your Enrollment Photograph or Check-in Photograph with any external third-party entities. The face verification process, including the comparison of photographs, is handled entirely by a proprietary REST API developed, owned, and operated by PT Subur Progress.

    Security of Face Photograph Data

PT Subur Progress implements robust technical and organizational security measures to protect your Enrollment Photograph from unauthorized access, use, alteration, or disclosure. These include [mention 1-2 general measures already in your 'Data Security' section, e.g., encryption during transmission and at rest, and strict access controls]. The transmission of Check-in Photographs to our API is also secured.
